ClientRecap Privacy Policy

ClientRecap is provided by Pedro Ignacio ("we," "us," or "our"). This policy describes the current App Store version of ClientRecap.
## Local information
ClientRecap lets users enter client or patient contact information, record consented conversations, create transcripts and recaps, track action items, and import their own professional Library materials. This information is stored in ClientRecap's protected local app container and is not transmitted to a server operated by us.
App state is encrypted locally with AES-256-GCM using a device-only Keychain key. Recordings use Apple Data Protection. Recordings and imported Library files are excluded from device backup.
Compatible devices may use Apple-provided on-device speech recognition and Apple Intelligence features. Manual entry remains available when those features are unavailable.
Pro may create branded PDFs and editable follow-up drafts locally. Optional logos remain in protected local storage. Apple Watch marker timestamps and app activity history are stored inside the same encrypted local record as the meeting.
For nonmedical records only, a Pro user may explicitly add incomplete action items to Apple Reminders. ClientRecap does not perform this action automatically. Medical records do not expose the Reminders action.
## Optional private iCloud backup
A Pro user with an eligible nonmedical data set may manually back up and restore app state through the user's private CloudKit database. Audio recordings and imported Library documents are not included. This backup is not automatic and is governed by the user's Apple Account and Apple's iCloud terms.
Cloud backup is disabled for Nursing, allied-health, and physician profiles and for any data set that contains medical information. Changing the selected professional role does not make that medical data eligible for backup.
## Sharing
ClientRecap does not send recaps automatically. A user may choose to export an approved participant-facing recap through Apple’s system share sheet. The receiving app or service is governed by its own privacy practices. Clinician-only documentation drafts cannot be shared from ClientRecap.
## Purchases
Subscriptions are processed by Apple through StoreKit. ClientRecap checks verified purchase entitlements on the device. Apple’s handling of purchase and account information is governed by Apple’s policies.
## Imported materials
Users may import authorized PDF, TXT, or RTF materials into the local professional Library. ClientRecap does not verify, endorse, or claim ownership of those materials. Users are responsible for having permission to use them. Nursing, allied-health, and physician profiles use a local-only Reference Library. Medical reference materials and generated notes are excluded from CloudKit and device backup.
With Pro, compatible devices can extract PDF text, recognize scanned text, and create editable notes using on-device Apple technologies. PDF contents are not sent to us or to a third-party AI service. Generated notes must be reviewed by the professional before the app can use them as meeting reference context.
## Retention and deletion
Local information remains until the user deletes the related client, meeting, recording, or Library entry in the app, or removes the app and its data from the device. An eligible Pro user may separately create a latest-state CloudKit backup and later replace local data with it.
## Sensitive and regulated information
ClientRecap is not an electronic health record, emergency service, or autonomous professional-advice system. Organizations and professionals are responsible for authorization, consent, privacy, official documentation, and compliance requirements applicable to their use.
## Children
ClientRecap is intended for professional users and is not directed to children.
## Security
We design the app to minimize transmission and use Apple platform protections for local app data. No method of storage is guaranteed to be completely secure, and users should protect their device and follow organizational policies.
## Changes
We may update this policy as ClientRecap changes. The effective date above will identify the current version.
